The Office Manager is responsible for overseeing the daily business operations and administrative aspects of the practice including growing the business, hiring and training employees, safety, ensuring compliance with regulations, and building relationships to support the business. 

Responsibilities

  • Manage and oversee the business affairs of healthcare practices 
  • Optimize patient satisfaction 
  • Monitor and review Provider’s schedules to expand and accommodate office’s capacity fulfillment and patient encounters. 
  • Establish and implement effective workplace procedures. 
  • Build and foster positive relationships with Providers and staff to foster a collaborative, supportive working environment and to help improve patient services. 
  • Monitor inventory and place orders for resupply. 
  • Interact with patients and address any escalations of concerns or complaints. 
  • Coordinate/conduct regular staff meetings and performance reviews. 
  • Collaborate with Physicians to develop business strategies and patient services. 
  • Ensure policies and best practices are up to industry standards and government regulations. 
  • Hire, train, coach and supervise staff. 
  • Maintain open lines of communication with staff, providing regular, substantive feedback with the intent to motivate and improve performance. 
  • Complete Manager’s Certification on I-9s ensuring ID requirements are met and submit to HR.  
  • Organize patient records using electronic health records keeping. 
  • Supervise daily practice operations such as billing, debt collections, security and occupational health and safety. 
  • Assist as needed for front desk during high volume or staff shortages. 
  • Assist as needed in clinical as Medical Assistant during high volume or staff shortages. 
  • Responsible for managing one primary and additional satellite offices, and will travel as needed to satellite offices. 
  • Other duties assigned as deemed necessary by management. 

Qualifications

  • Strong interpersonal and communication skills to effectively communicate with Physicians, other medical professionals, office staff, and patients.
  • Excellent analytical and problem-solving skills.
  • Computer literacy and knowledge of relevant health care and administrative software.
  • Proficient with Microsoft Office Suite and related
  • Excellent leadership, motivation, training and goal-setting skills.
  • In-depth knowledge of health care finance best practices and standards.
  • Thorough understanding of health and safety standards in the medical industry.
  • Excellent organization and time management skills.
  • Knowledge of and compliance with HIPAA standards.
  • Ability to plan, organize, prioritize, delegate, and manage tasks.
  • Ability to act with integrity, professionalism, and
  • Ability to function well in a high-paced and at times stressful
  • Ability to travel 30%.

Licensure/Certifications/Education

Education and Experience: 

 

  • Bachelor’s degree in healthcare administration, public health, health information management, or a related field preferred. 
  • Minimum five years’ experience in a medical office or similar setting. 
  • Previous experience in Dermatology is preferred. 

 

Physical Requirements: 

 

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift up to 15 pounds at times. 

 

Salary: $60,000- $70,000 + Bonus

Full time employees (defined as regularly working at least 30 hours per week) are eligible for the following benefits:
