Academic Alliance in Dermatology is seeking a professional and detail-oriented individual with excellent communication skills to join our Largo, FL office. This role is dedicated exclusively to phones and fax management - no patient check-in, check-out, or payment collection. You will serve as the first point of contact for patients by phone while also ensuring the accurate and timely processing of all faxed medical documents.

Duties/Responsibilities: 

• Answer and route incoming phone calls in a courteous and professional manner.
• Schedule and confirm patient appointments.
• Take accurate, concise messages and relay them promptly.
• Enter and update patient demographics when scheduling.
• Provide information to patients regarding office policies, services, and procedures.
• Manage all incoming and outgoing faxes, including referrals, insurance documents, and medical records requests.
• Handle referrals and communicate with other offices as needed.
• Ensure all phone messages, faxes, and interdepartmental mail are addressed promptly.
• Maintain confidentiality of all patient information.
• Assist staff with administrative tasks as needed.
• Other duties assigned by management.

Education and Experience: 

• High School Graduate or GED (required). 

• 1-3 years recent experience as a Medical Receptionist in a clinical or surgical setting (preferred). 
• Previous experience in Dermatology (preferred)
• Call center experience (preferred)

Skills/Abilities: 

• Excellent customer service and communication skills. 
• Knowledge of HIPAA standards. 
• Must be able to manage multiple tasks simultaneously. 
• Excellent organizational and time management skills. 
• Ability to function well in a fast-paced and at times stressful environment. 
• Detail-oriented 
• Working knowledge of multi-line phone system.   
• Able to operate standard office equipment (i.e. computer, fax, copier, scanner, etc) 
• Intermediate computer skills and experience in EMR utilization 
• Fluent in English.   
• Ability to sort and file materials correctly alphabetically or numerically.   
• Ability to travel to and provide coverage for other local offices as-needed.
