Responsibilities

The Executive Assistant serves as a trusted partner to the Chief Executive Officer (CEO), providing elevated, highly detail-oriented executive partnership to the CEO and other members of the Executive Team as directed. This role also also oversees day-to-day office operations for the Support Center, ensuring a professional, efficient, and well-managed environment. The position requires exceptional organization, precision, and consistent follow-through to ensure priorities are executed seamlessly.

 

This role will be on site. Typically Fridays will be remote. 

 

Duties/Responsibilities:

  • Provides high-level administrative support and assistance to the CEO and/or other assigned executive staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
  • Keeps the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Leads planning and execution of executive and organizational events, including annual conferences, regional meetings, town halls, board meetings, and leadership dinners.
  • Arranges travel and accommodations for CEO and other executives as assigned. 
  • Organizes and prepares for meetings, including gathering documents and attending to logistics of meetings.
  • Attends meetings with, or on behalf of CEO and other executives, taking notes and recording minutes. 
  • Receives incoming communication or memos on behalf of CEO or other executive staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Full ownership of day‑to‑day office operations to include, vendor management, facilities coordination, records management, procurement and office systems management and maintaining a polished, highly professional executive environment.

  • Other duties assigned as deemed necessary by management.

 

Qualifications

Required Skills/Abilities:

 

    • Exhibits exceptional attention to detail and ownership, with the ability to anticipate needs and ensure seamless follow-through on all initiatives.
    • Strong interpersonal and communication skills to effectively communicate with executive and other senior staff.
    • Excellent analytical and problem-solving skills.
    • Proficient in Microsoft Office Suite and related software; comfortable leveraging AI-powered tools and emerging technologies to enhance productivity, organization, and efficiency.
    • Excellent organization and time management skills.
    • Knowledge of and compliance with HIPAA standards.
    • Ability to plan, organize, prioritize, and execute sound judgement.
    • Ability to act with integrity, professionalism, discretion and to maintain confidentiality.
    • Ability to work full-time, on-site at the Corporate Office.
    • Ability to travel 10%.

 

Licensure/Certifications/Education

Education and Experience:

  • High School Diploma required; Bachelor’s degree in Business Administration or related field preferred.
  • At least five (5) years of related experience required.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

 

Full time employees (defined as regularly working at least 30 hours per week) are eligible for the following benefits:

  • Compensation: $65,000-$85,000
