Overview

We're hiring a Front Office Supervisor to join our Academic Alliance in Dermatology clinic in Tampa, FL. This is a working supervisor position responsible for leading and supporting the front desk team while also actively participating in day-to-day front office operations.This is a fast-paced, high-volume clinic supporting 5 providers and approximately 70-90 patients per day. The Site Supervisor will directly support and supervise a team of approximately 3 front desk staff members, helping ensure efficient patient flow, excellent customer service, appropriate staffing coverage, and smooth daily operations.

 

Schedule: Monday - Friday | 8:00 AM - 5:00 PM

Responsibilities

Essential Duties and Responsibilities

 

Responsibilities include, but are not limited to, the following:

  • Serve as a working supervisor for the front desk team, providing hands-on support with daily front office responsibilities while overseeing team performance and workflow.
  • Supervise, coach, train, and support assigned Front Desk Receptionists to ensure consistent patient service and efficient clinic operations.
  • Coordinate daily front desk activities for a high-volume practice supporting multiple providers and approximately 70–90 patients per day.
  • Assist with patient check-in and check-out, appointment scheduling, phone coverage, insurance and demographic verification, collection of copays and balances, and other front desk responsibilities as needed.
  • Monitor daily staffing needs and coordinate coverage or schedule adjustments to maintain appropriate front desk support.
  • Plan, assign, and monitor the work of front office staff to ensure responsibilities are completed accurately and efficiently.
  • Serve as a resource for front desk staff regarding workflows, policies, procedures, scheduling issues, and patient service concerns.
  • Recruit, onboard, train, develop, and support front desk team members.
  • Provide ongoing coaching, feedback, retraining, and performance support to promote accountability and continued staff development.
  • Monitor front desk productivity, workflow, accuracy, service quality, and timeliness and identify opportunities for process improvement.
  • Promote a positive, professional, fair, and collaborative work environment.
  • Partner with the Clinic Manager on staffing, workflow, productivity, operational initiatives, and other day-to-day clinic needs.
  • Address patient questions, concerns, and complaints in a timely and professional manner and ensure appropriate follow-up through resolution.
  • Help manage challenging patient interactions and serve as an escalation point for front desk staff when needed.
  • Ensure front office policies, procedures, and operational initiatives are implemented consistently and within established timeframes.
  • Maintain compliance with applicable policies, procedures, HIPAA requirements, and other healthcare regulations related to front office operations.
  • Participate in required meetings, trainings, and off-site events as needed.
  • Perform other related duties as assigned by management.

Qualifications

Qualifications

  • High school diploma or equivalent required; Associate degree in Medical Assisting, Medical Office Administration, Healthcare Administration, Business Administration, or a related field preferred.
  • Minimum of 2 years of experience in a medical practice, including experience as a Medical Assistant, Front Office Associate, or similar patient-facing healthcare role.
  • Previous experience in a lead, supervisory, or management capacity strongly preferred.
  • Demonstrated ability to lead, coach, train, and support staff while promoting accountability and a positive team environment.
  • Experience coordinating staff schedules, daily workflow, and clinic coverage preferred.
  • Strong understanding of medical office operations, including patient flow, front desk processes, clinical support functions, and provider support.
  • Ability to identify workflow or performance concerns and assist with process improvement, retraining, and corrective action when appropriate.
  • Strong interpersonal, communication, organization, and problem-solving skills.
  • Ability to effectively manage competing priorities and respond to staffing or operational needs in a fast-paced clinical environment.
  • Working knowledge of HIPAA, OSHA, and other applicable healthcare compliance and safety requirements.
  • Proficiency with electronic medical record systems and standard office technology preferred.

Licensure/Certifications/Education

Physical Requirements: 

  • Standing and walking for extended periods of time 
  • Moderate amount of talking, bending, twisting, reaching, and balancing. 
  • Use of hands and fingers. 
  • Handling of materials such as paper, supplies, etc. 
  • Lifting and carrying up to 30 pounds. 
  • Risk of exposure to infectious organisms and the possibility of injury due to chemicals and sharp objects.
